Syntas is hiring an Operations Automation Specialist to help our clients eliminate manual work and streamline their business processes through intelligent automation. You will design and implement automation solutions spanning telephony systems, data entry workflows, internal communications, accounting processes, and cross-departmental operations—leveraging AI to handle complexity that traditional automation cannot address. This role is perfect for engineers who are passionate about efficiency and understand that the best automation solutions are invisible to end users while dramatically improving their productivity. You will work with operations teams across industries to identify automation opportunities, design solutions that integrate with existing systems, and deploy reliable workflows that run without constant intervention.

About the Role

As an Operations Automation Specialist at Syntas, you will be the engineer who makes businesses run smoother. Every company has repetitive processes that consume employee time, introduce errors, and create bottlenecks—your job is to find these inefficiencies and eliminate them through thoughtful automation that combines traditional workflow tools with modern AI capabilities.

Your work will span diverse operational domains. You might spend one week building an AI-powered telephony system that handles inbound customer calls, transcribes conversations, and routes requests to appropriate teams. The next week could involve creating automated data entry pipelines that extract information from documents, validate it against business rules, and populate multiple systems without human intervention. Another engagement might focus on building internal communication automation that ensures critical information reaches the right people at the right time.

The AI dimension of this role is what makes it particularly exciting. While traditional automation excels at structured, rule-based tasks, you will implement AI solutions that handle the unstructured, judgment-requiring work that previously needed human involvement. Document understanding, natural language processing, intelligent routing, and conversational interfaces are all tools in your toolkit for solving operational challenges.

Key Responsibilities

  • Analyze client business processes to identify automation opportunities and quantify potential impact
  • Design end-to-end automation solutions that integrate with existing systems and workflows
  • Implement workflow automation using platforms like Zapier, n8n, Make, and custom code solutions
  • Build AI-powered document processing using OCR, LLMs, and structured extraction techniques
  • Develop telephony integrations with VoIP systems, IVR platforms, and AI voice services
  • Create data pipelines that synchronize information across CRM, ERP, accounting, and operational systems
  • Implement error handling, retry logic, and monitoring for production automation workflows
  • Design human-in-the-loop processes for automation that requires oversight or exception handling
  • Collaborate with client operations teams to understand processes, gather requirements, and iterate on solutions
  • Document automation workflows, maintain runbooks, and train client teams on system operation
  • Monitor automation performance and continuously optimize for reliability and efficiency
  • Stay current with automation tools, AI capabilities, and integration platforms
  • Contribute to internal automation frameworks and best practices documentation

What We Are Looking For

  • 3+ years of experience building automation solutions, workflow systems, or integration projects
  • Strong Python proficiency with experience in scripting, APIs, and data processing
  • Hands-on experience with workflow automation platforms (Zapier, n8n, Make, Power Automate)
  • Understanding of API integration patterns, webhooks, and event-driven architectures
  • Experience with document processing including OCR, PDF parsing, and data extraction
  • Familiarity with AI/ML concepts and ability to implement LLM-based automation components
  • Knowledge of common business systems: CRM, ERP, accounting software, help desk platforms
  • Experience with database operations and SQL for data transformation and synchronization
  • Understanding of telephony concepts: VoIP, SIP, IVR systems, and call center operations
  • Strong problem-solving skills with ability to debug complex multi-system workflows
  • Excellent communication skills for working with non-technical operations stakeholders
  • Self-directed work style with ability to manage projects independently in a remote environment

Nice to Have

  • Experience with AI voice platforms (Twilio, Vonage, Dialpad, or similar)
  • Background in RPA tools (UiPath, Automation Anywhere, Blue Prism)
  • Familiarity with accounting systems (QuickBooks, Xero, NetSuite) and financial automation
  • Experience with ERP systems (SAP, Oracle, Microsoft Dynamics)
  • Knowledge of HIPAA, SOC 2, or other compliance requirements for operational systems
  • Background in business process modeling and documentation (BPMN)
  • Experience with monitoring and observability tools (Datadog, PagerDuty)
  • Understanding of change management and user adoption strategies
  • Prior consulting or client-facing technical role experience
  • Experience with specific verticals: healthcare, logistics, financial services
  • Familiarity with low-code platforms (Retool, Appsmith) for operational tooling
  • Project management experience or PMP/similar certification
